1. Definitions and Interpretation

1.1 In these Terms and Conditions:

  • “Company” refers to Cornwall Rugby Tours.

  • “Lead Organiser” refers to the individual responsible for making and administering the booking on behalf of the group.

  • “Participants” refers to all individuals included within the booking, including players, coaches, staff, supporters, and accompanying persons.

  • “Services” refers to all elements of the tour package, including but not limited to accommodation, fixtures, activities, transport (where applicable), and any associated arrangements.

1.2 By confirming a booking, the Lead Organiser warrants that they have full authority to accept these Terms and Conditions on behalf of all Participants and agrees to ensure that all Participants comply fully with them.

2. Booking and Payment Terms

2.1 A non-refundable deposit of 50% of the total booking value is required to secure the booking.

2.2 The remaining 50% balance must be paid in full no later than 70 days prior to the scheduled arrival date.

2.3 Failure to make payment in accordance with these terms may result in cancellation of the booking by the Company, in which case the deposit shall be forfeited in full.

2.4 The Company reserves the right to release or reallocate any Services where payment deadlines are not met.

2.5 No Services shall be deemed confirmed until the deposit has been received in cleared funds.

3. Accommodation and Overnight Stays

3.1 The Company arranges accommodation through independent third-party providers. All accommodation is subject to availability and the contractual terms of those providers.

3.2 The Lead Organiser accepts full responsibility for the conduct, supervision, and control of all Participants within accommodation and during overnight stays.

3.3 All Participants shall:

  • Comply with all accommodation provider rules, policies, and instructions;

  • Maintain rooms and communal areas in a clean, orderly, and reasonable condition;

  • Respect other guests, staff, and neighbouring properties at all times.

3.4 Participants must strictly adhere to all designated quiet hours, particularly during late evening and overnight periods.

3.5 Accommodation providers reserve the right to refuse entry to, or remove, any Participant or group whose behaviour is deemed unacceptable. In such circumstances:

  • No alternative accommodation will be provided by the Company;

  • No refunds shall be issued.

3.6 The Company shall not be liable for any loss, damage, or inconvenience arising from the acts or omissions of accommodation providers.

4. Compliance with Third-Party Terms and Conditions

4.1 In addition to these Terms and Conditions, all Participants must comply fully with the terms, conditions, rules, and policies of all third-party providers engaged as part of the Services, including (but not limited to) accommodation providers, venues, transport operators, and activity organisers.

4.2 Any breach of such third-party terms shall constitute a breach of these Terms and Conditions.

4.3 The Lead Organiser is responsible for ensuring that all Participants are made aware of and adhere to such third-party terms at all times.

5. Damage Deposit

5.1 The Company reserves the right to require a refundable damage deposit prior to arrival, the amount of which shall be notified in advance of the tour.

5.2 The damage deposit may be applied toward:

  • Damage to accommodation, fixtures, or property;

  • Excessive cleaning requirements;

  • Costs arising from misconduct or breach of these Terms or third-party terms.

5.3 Where costs exceed the value of the damage deposit, the Lead Organiser shall remain liable for the full balance.

5.4 Any unused portion of the damage deposit will be returned within a reasonable timeframe following completion of the tour, subject to confirmation from accommodation providers and partners.

6. Cancellation Policy

6.1 Cancellation by the Customer

6.1.1 The 50% deposit is strictly non-refundable in all circumstances.

6.1.2 Any payments made in excess of the deposit may be refunded at the sole discretion of the Company, taking into account costs already incurred, including but not limited to accommodation, fixtures, and third-party commitments.

6.2 Cancellation by the Company

6.2.1 In the event that the Company cancels a tour, Participants may be eligible for a refund of the second 50% balance payment only.

6.2.2 The initial 50% deposit shall remain non-refundable, reflecting costs incurred in securing Services.

7. Standards of Behaviour and Conduct

7.1 All Participants are required to conduct themselves in a fair, reasonable, and respectful manner at all times.

7.2 Participants shall uphold the core values and behavioural standards associated with England Rugby, including:

  • Teamwork

  • Respect

  • Enjoyment

  • Discipline

  • Sportsmanship

7.3 These standards apply at all times, including during fixtures, accommodation stays, travel, and any associated social activities.

7.4 All international Participants are expressly required to comply with the standards, expectations, and codes of conduct associated with England Rugby throughout the duration of their tour, in addition to all applicable laws within the United Kingdom.

8. Prohibited and Unacceptable Behaviour

8.1 The following behaviours shall constitute a breach of these Terms:

  • Excessive or abusive language, including persistent swearing;

  • Underage drinking or the supply of alcohol to minors;

  • Use or possession of illegal substances;

  • Aggressive, threatening, or violent behaviour;

  • Damage to property or facilities;

  • Anti-social or disruptive behaviour;

  • Any conduct likely to bring the Company, its partners, or the sport of rugby into disrepute.

8.2 This list is non-exhaustive, and the Company reserves the right to determine, at its sole discretion, what constitutes unacceptable behaviour.

9. Alcohol Policy

9.1 Alcohol consumption must be undertaken responsibly and in accordance with all applicable laws and third-party provider policies.

9.2 Underage drinking is strictly prohibited. Any Participant found to be consuming alcohol under the legal age, or supplying alcohol to minors, will be in breach of these Terms.

9.3 Excessive alcohol consumption resulting in disorderly behaviour, damage, disturbance, or risk to safety shall be treated as a serious breach.

9.4 The Company and its partners reserve the right to restrict or prohibit alcohol consumption where deemed necessary.

9.5 Any breach of this policy may result in removal from accommodation or the tour without refund.

10. Illegal Behaviour

10.1 All Participants must comply with the laws of England and Wales at all times.

10.2 Any illegal activity, including but not limited to:

  • Possession or use of illegal substances;

  • Theft or criminal damage;

  • Violent or threatening conduct;

  • Public disorder offences;

shall constitute a serious breach of these Terms.

10.3 The Company reserves the right to report such matters to the relevant authorities.

10.4 Any Participant involved in illegal activity may be immediately removed from the tour, with:

  • No refund provided;

  • All funds retained at the Company’s discretion;

  • Liability for any resulting costs remaining with the Lead Organiser.

11. Consequences of Breach

11.1 The Company reserves the right to remove any Participant or group from accommodation, fixtures, activities, or the tour as a whole.

11.2 In such circumstances:

  • No refunds shall be provided;

  • All funds paid may be retained at the Company’s sole discretion;

  • The 50% deposit shall remain non-refundable in all cases.

11.3 The Lead Organiser shall remain liable for any additional costs incurred.

12. Youth Safeguarding

12.1 Where Participants include individuals under the age of 18, the Lead Organiser assumes full responsibility for safeguarding and supervision.

12.2 Appropriate adult-to-child supervision ratios must be maintained at all times.

12.3 Supervising adults must ensure the safety, wellbeing, and appropriate conduct of minors, including the prevention of underage drinking and inappropriate behaviour.

12.4 The Company operates in accordance with recognised safeguarding principles consistent with England Rugby standards but does not assume supervisory responsibility unless expressly agreed in writing.

13. Social Media and Reputation

13.1 Participants must not publish or share any content that may bring the Company, its partners, or the sport of rugby into disrepute.

13.2 This includes content depicting unsafe, unlawful, or inappropriate behaviour.

13.3 The Company reserves the right to take action, including removal from the tour, in response to such conduct.

13.4 The Company may use photographs or media for promotional purposes unless expressly declined in writing prior to the tour.

14. Force Majeure

14.1 The Company shall not be liable for failure or delay in performance due to events beyond its reasonable control, including but not limited to:

  • Extreme weather;

  • Natural disasters;

  • Pandemics or public health emergencies;

  • Government restrictions;

  • Transport disruption;

  • Third-party cancellations.

14.2 In such circumstances:

  • Services may be altered, postponed, or cancelled;

  • No refunds shall be guaranteed;

  • Any refunds or credits shall be at the sole discretion of the Company.

15. Itinerary Changes and Fixtures

15.1 All fixtures, accommodation, and activities are subject to change.

15.2 The Company reserves the right to make reasonable substitutions or alterations where necessary.

15.3 No refunds shall be due for changes outside of the Company’s control.

16. Liability and Insurance

16.1 The Company acts as an organiser coordinating third-party Services.

16.2 The Company shall not be liable for:

  • Loss or damage to personal belongings;

  • Acts or omissions of third parties;

  • Events beyond its reasonable control.

16.3 Participants are strongly advised to obtain appropriate travel and personal insurance.

17. Health and Safety

17.1 Participants must comply with all applicable health and safety requirements.

17.2 Any relevant medical conditions must be disclosed in advance.

17.3 The Company reserves the right to restrict participation where safety may be compromised.

18. General Provisions

18.1 The Company reserves the right to amend these Terms and Conditions at any time.

18.2 Any decision made by the Company in relation to bookings, conduct, or disputes shall be final and binding.

18.3 These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
